HR Specialist

Objective:
The HR Compliance Specialist’s role is to foster a compliant, caring, and well-managed workplace by ensuring adherence to labor laws and internal policies, executing all payroll systems, and supporting a culture of recognition, accountability, and operational integrity. This part-time role is designed for 20-25 hours weekly.
Deliverables:
- System Execution
- Track and update expiration dates of pertinent tests and documents in internal systems
- Ensure all new hires have Tracker profiles created with appropriate certifications updated
- Assist with onboarding of New Hires
- Keep Census Report up to date
- Learn and become proficient in Lifelenz timekeeping system
- Oversee Reference Checks for current/former Team Members
- Oversee all EDD Notice responses
- Oversee Team Member & Customer Sedgwick Claims (Worker’s Compensation & Liability Claims)
- Ensure the Talent Promise is being carried out
- Implement staff recognition including but not limited to; celebrating birthdays, anniversaries, exceptional performance, promotions, departures and special life events (such as: weddings, graduation, new babies, etc.)
- Execute bi-annual Team Member satisfaction surveys
- Ensure restaurant compliance with Labor & Employment Laws
- Ensure all legal postings are current and accurate
- Stay updated on all changes regarding employment or employee experience (ie: minimum wage changes, state and federal legislation, mandated postings, mandated team wide trainings, etc.)
- Keep employee documents current and in compliance
- Equip leadership with knowledge of necessary employment regulations and mandates
- Oversee implementation/execution of Workplace Violence Prevention Plan (reference SOP)
- Submit mandated annual reporting (CA Pay Data Reporting, EEO-1 Reporting)
- Ensure payroll/schedule/employment records retention compliance
- Perform quarterly compliance audits of all talent related systems
- Ensure wage salaries and hours are updated in Decisely bi-annually
- Update handbook in Decisely annually
- Assist with rollout of any new trainings to stay compliant according to new California state laws
- Assist with Open Enrollment
- Solidify all store policies are being strictly executed and enforced
- Keep updated policy manual and ensure all leadership is properly equipped in expected execution
- Monitor and oversee discipline process to ensure accountability
- Oversee successful employment termination process
- May work with Jeffrey to complete this process
- Complete all terminations in a timely manner
- Execute payroll and monitor all payroll systems for most accurate information
- Stay current on all updates and changes for the HR payroll system
- Execute payroll process bi-weekly
- Oversee the PSL binder post payroll to ensure everyone is using the correct columns and no one is “overspending” hours or using before eligible
- Perform quarterly audits of all systems related to payroll to ensure accurate information
- Oversee annual W-2 distribution
- Work with Talent Specialist to manage Talent budgets
- Track expenses by category to ensure we stay within annual budgets
- Leverage trade partners to keep costs low
Qualifications and Pre-Requisites:
- 4-year degree or equivalent experience in the field
- Open availability (including occasional weekends and nights)
- Must be system minded, have great follow through, excellent time management skills, be comfortable having high stakes conversations (performance issues, terminations, etc.), and a heart for people
- Experience in executing high level communication
